The Story
Vishva leads investment monitoring and mentoring at AIC across a portfolio of 40+ pre-seed startups. The role requires running regular review calls with every founder, coordinating separate calls with mentors, and then facilitating joint calls where founders, mentors, and Vishva are all present.
Each of those three call types generates a different set of outputs: mentor inputs for the founder, mentor assessments for the management team, and joint session notes. Multiplied across 40 startups, the data volume made ad-hoc tracking unworkable.
Vishva started with Excel, building calendars and progress trackers. As the portfolio grew and the complexity of each relationship deepened, Excel stopped scaling. He moved the system to Notion, building structured databases that could be queried and shared across the team.
The design principle was simple: anyone on the team should be able to pull up a founder's record and pick up exactly where the last conversation left off, without needing to reconstruct context from email threads or meeting minutes.
The system now supports three distinct data flows: founder-facing progress tracking, mentor assessment records for management, and joint session notes. It is the operational backbone for how AIC manages its portfolio relationships.
