Overview

At Transcom, the Annual General Meeting processing workflow required agents to create an event, draft a notification, and complete an attendance card for each shareholder wishing to participate in a general or extraordinary general meeting. Each attendance card submission triggered a 25-euro deduction from the company.

The Story

At Transcom, the Annual General Meeting processing workflow required agents to create an event, draft a notification, and complete an attendance card for each shareholder wishing to participate in a general or extraordinary general meeting. Each attendance card submission triggered a 25-euro deduction from the company.

Sanjeevni identified a gap: there was no verification step before the attendance card was sent to the registration office. A single agent filled in all the information and submitted it directly, with no second or third check. Given the financial cost of each submission, any error meant a 25-euro loss with no recovery mechanism.

She designed and built a tracker that introduced a three-eye check into the workflow. One L1 agent and one L2 support staff member were required to verify the information before any attendance card was dispatched. The tracker made the verification step mandatory and visible, creating accountability at both levels.

After the tracker was introduced, the team processed all attendance cards without errors. Every card reached the registration office accurately, and the 25-euro deductions were protected from avoidable mistakes.
